Bringing Entity Management Into Focus

DBO is a professional services firm that helps clients manage the ongoing complexities of legal entity compliance. As their client base grew, so did the volume and variety of documents, deadlines, and communications involved in entity management. Key information—such as compliance timelines, invoices, and order forms—was spread across multiple tools and systems, making it difficult for clients to get a clear, actionable view of their entities without direct assistance from the DBO team.

To improve visibility, reduce back-and-forth communication, and offer a more seamless client experience, DBO partnered with Begin Software. Together, we built a scalable and user-friendly client portal that centralized access to critical information. The result was a more modern, self-serve interface that supports DBO’s long-term vision for proactive, tech-enabled service.

Building a Smarter Client Experience

DBO wanted to give clients more clarity and control without increasing internal workloads. To achieve this, we designed a custom-built portal that brought key entity data together in one place. By integrating multiple systems and simplifying how information was organized and shared, we helped DBO offer a modern, self-serve experience while keeping their internal operations efficient and scalable.

OUR PROCESS
1. Document Syncing
How it works: We set up an automated process in Make.com that checks SharePoint every 35 minutes for new or updated documents. When changes are found, metadata is pushed to Airtable, which automatically matches each file to the correct client, entity, and firm. These documents are then displayed in Softr, where clients can securely access only what’s relevant to them.

Why it matters: Clients now have real-time access to their documents in a centralized, secure portal—no more email requests or SharePoint digging. This convenience builds trust, saves time, and ensures sensitive information stays protected.
2. Compliance Deadline Generation
How it works: We built a rules engine in Make.com to track entity-specific compliance deadlines based on state requirements, entity type, and formation date. When a new entity is added to Airtable, those rules trigger automatic deadline generation for items like annual reports or DBA renewals. These are displayed in the client's portal, alongside auto-generated reminders.

Why it matters: Clients stay ahead of critical deadlines without lifting a finger. The portal keeps them informed, reduces the risk of penalties, and reinforces DBO’s role as a proactive partner in compliance.
3. Invoice Syncing
How it works: We connected QuickBooks Online to Airtable via Make.com to monitor invoice activity—whether an invoice is created, paid, voided, or deleted. Updates sync in real time to the client portal, where users can view all current and past invoices. Clients can also jump straight to QBO’s payment portal with a single click.

Why it matters: By bringing invoice access into the same portal clients use to manage documents and deadlines, we eliminate friction. It’s one convenient hub for action and oversight, helping clients stay organized and in control.
